What to look for in HRMS software

A buyer's checklist for HRMS software, from hiring and attendance to payroll, incentives and exits, for businesses with branches and field staff.

An HRMS is not just payroll. For a growing business with branches and field staff, it is the record of every person from the day they apply to the day they leave. Here is what to check.

Hiring

  • Job openings and a recruitment pipeline.
  • Resumes read into candidate records, not retyped.
  • Interviews and offers tracked to joining.

Attendance and time

  • Sync with the biometric devices you already have.
  • Check-in and check-out for field staff.
  • Shifts, rosters and a holiday calendar.
  • A monthly attendance register per branch.

Leave and overtime

  • Leave types, balances, accrual and encashment.
  • Approval steps that match your organisation.
  • Overtime approved before it is paid.

Payroll

  • Pay built from attendance, leave and overtime.
  • Statutory deductions for the places you operate.
  • Employee loans with monthly deductions.
  • Payslips delivered to employees.
  • A payroll lock once the month closes.

Performance

  • Goals and KPIs per role.
  • Targets for teams and individuals.
  • Appraisals and incentives from recorded results.

Exits

  • Resignations and notice periods.
  • Clearance tasks across departments.
  • Exit interviews and documents.
  • Full and final settlement.

Questions to ask any vendor

  • Show me attendance coming in from our devices. What do we do at month end?
  • What happens if someone changes a closed payroll month?
  • Where do incentive figures come from?
  • Walk me through an employee leaving, from resignation to final settlement.

How AIMS handles it

AIMS HRMS covers the whole list: hiring and exits with resume reading, notice periods, clearance and full and final settlement; attendance and leave with eSSL sync, field check-in, shifts and approvals; payroll with PF, ESI, professional tax and TDS, loans, WhatsApp payslips and a payroll lock; and goals and incentives. It can be used on its own or with AIMS IQ or AIMS V2. See the hire to retire journey.

Questions people ask

Do we need an HRMS if payroll is outsourced?

Often yes. Even with payroll outsourced, attendance, leave, overtime, goals and exits have to be recorded somewhere, and the payroll provider needs accurate inputs.

Should HRMS be separate from sales and service software?

It can be, but running them together lets incentives come from recorded sales and service work, and lets service costs include what technicians are actually paid.

What matters most for businesses with field staff?

Attendance that works away from the office, such as check-in and check-out from a phone, alongside the biometric devices at your branches.
